Send a consistent project package
A useful quote request identifies the service, approved revision, quantity and delivery requirement. For PCB assembly, it also connects the board data to the BOM and placement information. If the design is preliminary, say so explicitly.
Define the manufacturing scope
Begin your message with PCB fabrication, PCBA assembly or PCB plus PCBA. Identify who supplies bare boards and components. State whether your quantity is for prototypes, a pilot build or a production order. These details help establish which costs and responsibilities belong in the quote.
Check fabrication inputs
Keep artwork, drill files, board outline and fabrication drawing on the same revision. Include layer stackup, material, finished thickness, copper and surface finish. Call out controlled impedance or other critical requirements instead of expecting them to be inferred from a screenshot.
Check assembly inputs
Provide a BOM with clear component identification, quantities and reference designators. Include placement data and assembly drawings where applicable. Describe population variants, polarity instructions and approved substitutions. Flag unresolved component choices before procurement begins.
Specify verification and delivery
Describe required inspection or testing and the evidence needed with delivery. State whether your target date means shipment or arrival, and include the destination. Manufacturing, procurement and transit are separate parts of a schedule, so avoid treating a desired arrival date as an agreed production lead time.
